Privacy Notice
How we collect and use personal data.

This Privacy Notice explains how Capsule Corp. SC (the “Agency,” “we,” “us,” “our”) collects, uses and protects personal data when you visit our website, apply for or are considered for a role, or engage with us as a client or business contact. We are committed to processing personal data in accordance with the EU General Data Protection Regulation (Regulation 2016/679, the “GDPR”) and the Belgian Act of 30 July 2018 on the protection of natural persons with regard to the processing of personal data.
01 Who we are
We are a recruitment and candidate-introduction firm based in Belgium. We source candidates, including Forward-Deployed Engineers, Deployment Strategists and related technical, delivery and go-to-market profiles, and introduce them to our client companies.

02 Whose personal data we process
This notice applies to:
- Website visitors who browse our site or contact us through it.
- Candidates who apply to us, are referred to us, or whom we identify as potentially suitable for a role.
- Client and business contacts who work for companies we provide services to, or who we believe may wish to use our services.
03 Personal data we collect
From website visitors: technical data such as IP address, browser type, device information, pages viewed and the dates and times of visits, collected through cookies and similar technologies (see section 10), and any information you provide through contact or sign-up forms.
From candidates: name, contact details, CV or resume, work history, education, skills, certifications, links to professional profiles (such as LinkedIn or GitHub), location, work authorisation and availability, salary expectations, interview notes and feedback, and any other information you choose to share with us.
From client and business contacts: name, job title, employer, business contact details and our correspondence with you.
04 Where we obtain personal data
We collect personal data:
- Directly from you, when you submit a form, send us your CV, speak with us, or otherwise interact with us;
- From referrals, when someone you know recommends you for a role;
- From public and professional sources, such as professional networking sites (for example LinkedIn or GitHub), company websites, public registers and CV databases. As a sourcing firm, we may identify and assess candidates from these sources before contacting them. Where we do this, we rely on our legitimate interest in connecting suitable professionals with relevant opportunities, and we tell you, when we first contact you, where we found your details and how you can object.
05 How and why we use personal data
We use personal data for the purposes and on the legal bases set out below:

Where we rely on consent, you may withdraw it at any time without affecting processing carried out before withdrawal. Where we rely on legitimate interests, you may object as described in section 9.
06 Who we share personal data with
We do not sell personal data. We share it only as follows:
- Clients: with candidate awareness, we share candidate profiles with client companies considering them for a role. We aim to inform candidates before sharing their full details with a specific client.
- Service providers: trusted suppliers who process data on our behalf (for example IT hosting, applicant-tracking, email and analytics providers), under written contracts that restrict them to acting on our instructions.
- Legal and regulatory: authorities or advisers where required by law, to establish or defend legal claims, or in connection with a business reorganisation.
07 International data transfers
We aim to keep personal data within the European Economic Area (EEA). If we transfer personal data outside the EEA (for example because a client or service provider is located abroad), we ensure an appropriate safeguard is in place, such as an adequacy decision of the European Commission or the EU Standard Contractual Clauses. You may ask us for a copy of the relevant safeguard using the contact details above.
08 How long we keep personal data
We keep personal data only as long as necessary for the purposes described above and to meet our legal obligations. In particular, we retain candidate data for up to 24 months after our last meaningful contact with you, after which we delete or anonymise it, unless you ask us to remove it sooner or a longer period is required by law. Website analytics data is kept for up to 14 months.
09 Your rights
Under the GDPR you have the right to:
- Access the personal data we hold about you and receive a copy;
- Rectify inaccurate or incomplete data;
- Erase your data in certain circumstances;
- Restrict or object to our processing, including processing based on legitimate interests and any direct marketing;
- Data portability, where processing is based on consent or a contract and is automated;
- Withdraw consent at any time where we rely on it.
10 Cookies and analytics
Our website uses cookies and similar technologies to function, remember your preferences and understand how the site is used. Non-essential cookies, including analytics and marketing cookies, are set only with your consent, which you can give or withdraw through our cookie banner or your browser settings. 11 How we protect personal data
We apply appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse or alteration, including access controls, encryption in transit, and supplier due diligence. No system is completely secure, but we work to keep our safeguards appropriate to the risk.
12 Children
Our services and website are intended for professionals and are not directed at children. We do not knowingly collect personal data from anyone under 16.
13 Changes to this notice
We may update this Privacy Notice from time to time. The version in force is the one published on our website, and we will indicate the date it was last updated at the top. Material changes will be communicated where appropriate.
